Same-Day AC Installation Checklist: What to Do Before the Crew Arrives

Be Ready Before the Heat Hits

A same-day house AC installation can feel like a lifesaver when the temperature jumps and your old system gives out. To keep that day from feeling stressful, a little planning on your part can make everything smoother, faster, and safer for your home and family.

When the crew shows up and things are already set up, they can focus on doing quality work instead of moving boxes or tracking down breaker labels. That means less time with your home open, fewer interruptions, and a better end result for your comfort.

At ACES HVAC, we are a family-owned residential and light commercial HVAC contractor serving Hermiston and the Tri-Cities area. Our uniformed technicians arrive on time, communicate clearly by text, phone, or email, even outside regular business hours when needed, and are trained for code-compliant, efficient installs. With certifications like EPA 60A, Green Tech certification through Mainstream, and PTCS airflow training for rebate programs, we work to match speed with solid workmanship.

We prioritize quick response and fast turnaround, including same-day installation when available and 24/7 emergency work for an additional fee. This planning checklist is designed to help you get your home, family, and property ready so a same-day AC install can stay on track, even during those busy mid-summer heat waves.

Confirm the Details Before Install Day

Before anyone steps foot on your property, it helps to get the basics locked in. A few quick steps can prevent delays and last-minute surprises.

First, confirm the time and how you want to be contacted. Many homeowners like text updates, others prefer a phone call or email.

  • Confirm the date and arrival window
  • Choose your preferred way to get updates
  • Make sure the best contact number is correct
  • Keep your phone handy during the arrival window

We use a home service app to send alerts when a uniformed technician is on the way and to provide updates when your tech is getting close. That way, you can plan work calls, kid pickups, or errands around that ETA instead of waiting and guessing.

Next, gather any information you have about your current system and your home. You do not need to do any technical work, just collect what you already have.

  • Existing AC or heat pump model and serial numbers
  • Approximate age of the equipment
  • Any warranty paperwork you can find
  • Notes about rooms that are always too hot or too cold
  • Any past electrical issues or breaker trips related to HVAC

Sharing comfort problems helps us design a better solution and, with PTCS airflow training, check if there are upgrade options that may work with rebate programs.

If you live in a neighborhood with an HOA, it is smart to review those rules early. Some HOAs have guidelines on where outdoor units can sit, how tall they can be, or how visible they are from the street. Having any needed pre-approval or contact info ready helps avoid delays if a question comes up about where the outdoor unit will sit.

Clear the Work Zones Indoors and Out

On install day, our technicians need clear, safe access to your equipment. This is one of the biggest things you can do in advance to keep the project on schedule and help us complete the work quickly.

Inside, we often work in basements, garages, closets, or crawlspaces. These areas tend to collect storage, so a quick clean-up goes a long way.

  • Move boxes, bins, and tools at least three feet away from the furnace or air handler
  • If the unit is in a garage, park vehicles outside and clear the front of the unit
  • Make sure doors to utility rooms and closets open fully

Outside, the condenser area needs space too. If you already have an outdoor unit, clear a perimeter around it. If this is a new install, open up the planned spot.

  • Trim shrubs and grass near the pad or planned location
  • Move patio furniture, grills, and toys out of the way
  • Pick up yard tools, hoses, and garden gear in the path to that area

A clean, level space helps us place and level the new unit correctly, which supports performance and equipment life.

Think about the path from the door to the indoor equipment. Technicians will bring in tools, drop cloths, and sometimes large equipment. You can help protect your home by:

  • Laying down old towels or rugs in high-traffic areas
  • Picking up shoes, toys, or small items from hallways
  • Letting us know about any delicate flooring to be extra careful with

We bring shoe covers, wear clean uniforms, and clean up after ourselves, but your prep helps keep dust and debris under control, especially during dry, hot weather.

Thermostat, Electrical Panel, and Access Essentials

Your thermostat and electrical panel are key parts of a house AC installation, and having them ready makes the day go much smoother and supports a faster turnaround.

Start with the thermostat. Technicians may replace it, rewire it, or connect it to your new system.

  • Move furniture away from the wall where the thermostat is mounted
  • Remove any decorative items hanging right above or below it
  • If you plan to upgrade to a smart thermostat, have your Wi-Fi network name and password ready

This lets us quickly install and set up the thermostat, then show you how to use the new features.

Next, check your electrical panel. We need safe, easy access to shut off and confirm power while we work.

  • Make sure the panel is unlocked
  • Clear boxes, shelves, or appliances that block access
  • If you know which breaker is for the HVAC, label it clearly

If your home is older or you know of existing electrical quirks, share that with the technician at the start of the visit. In some cases, minor electrical work is needed to support a new system. Being open about known issues helps us plan same-day solutions when possible or set up a follow-up visit if needed.

Our team keeps you informed throughout the visit and, when urgent, can provide 24/7 emergency work for an additional fee. We also stay reachable by text, phone, or email so you can get updates and ask questions, even if something comes up outside normal office hours.

Pets, Parking, and People

Install day can mean doors open, noise, and extra foot traffic, so it is good to plan for pets, parking, and who will be home.

Pets often get stressed with loud sounds and new people in the home. For their safety and ours:

  • Keep dogs and cats in a closed room, crate, or secure area
  • Let us know if there are pets inside when we arrive
  • Check that backyard gates latch securely if we need outdoor access

This reduces the risk of escapes when doors stay open for moving equipment in and out.

Parking also makes a big difference. AC equipment is heavy, especially in summer heat, so closer is better and helps us work more efficiently.

  • Leave space in the driveway or closest parking spot for the work vehicle
  • Move cars that block access to the garage or side yard
  • Clear walkways of hoses, bikes, and seasonal décor to prevent trips

Finally, try to have someone 18 or older home during the arrival window and through the main part of the installation. We may need quick decisions about equipment placement, thermostat location, or small changes. Our app and communication tools send you updates when the technician is on the way and when they are close to arriving, so you can time errands and work calls around those alerts instead of waiting all day.

Final Comfort Check and What to Expect

Right before install day, take a few minutes to think about your comfort goals. A new system is not just about cold air; it is also a chance to improve how your home feels.

You might ask yourself:

  • Do I want the system to be quieter than the old one?
  • Are there rooms that never seem comfortable?
  • Am I interested in better indoor air quality?
  • Am I focused on saving energy if possible?

Share those goals with your technician. Our team, including EPA 60A and Green Tech certified technicians, can talk through options like higher-efficiency systems, heat pumps, or indoor air quality add-ons during the house AC installation.

After the system is in place, we handle start-up and testing. We check the system’s operation, verify airflow, and for PTCS airflow-trained technicians, confirm readings that may help with rebate program requirements where available. Then we walk you through:

  • How to use the thermostat and any smart features
  • Which filter your system uses and how often to change it
  • Basic maintenance steps you can do between professional visits
  • Any paperwork related to warranties or rebates

A little preparation on your part lets us focus on quality work, careful testing, and clear explanations instead of moving clutter or hunting for panels. With a ready home, strong communication, and a clear plan, a same-day AC install can turn a stressful hot day into the moment your home finally feels cool, quiet, and comfortable again, without a long wait.

What's Involved in an HVAC Maintenance Plan?

If you have a heating or cooling system in your home, then you know that it is important to keep it well-maintained. An HVAC maintenance plan can help you do just that.

Here is a look at what is involved in an HVAC maintenance plan:

Regular Inspections: One of the most important aspects of an HVAC maintenance plan is regular inspections. Our trained professionals will come to your home on a regular basis to inspect your heating or cooling system and all of its parts. We will look for any signs of wear and tear or damage and will make sure that everything is working properly.

Cleaning and Maintenance: In addition to regular inspections, another important part of an HVAC maintenance plan is cleaning and maintenance. Our trained professionals will clean all of the parts of your HVAC system, as well as perform any necessary maintenance tasks. This can help to prolong the life of your system and keep it running at its best.

Replacement Parts: If any parts of your HVAC system need to be replaced, then the company providing your maintenance plan will do so. We will also dispose of the old parts properly so that you don’t have to worry about them. Both the Gold and Platinum plans also include 1 standard pleated air filter per visit!

Emergency Service: Lastly, most HVAC maintenance plans will include emergency service. This means that if something goes wrong with your HVAC system, you can call the company and we will send someone out to fix the problem as soon as possible.

An HVAC maintenance plan is a great way to keep your system in good working order. If you are interested in getting one for your home, then you should contact a local HVAC company to discuss your options.
